How the formula works

The responses are the part, and the total sent is the whole. Divide the part by the whole, then convert the decimal into a percentage.

  • Responses: replies, completed surveys, or answered invites
  • Total sent: emails, forms, outreach attempts, or invitations
  • Multiply by 100 to turn the decimal into a percent

Example 1, survey response rate

A survey is sent to 500 people and 85 people respond.

  • 85 / 500 = 0.17
  • 0.17 * 100 = 17%

The response rate is 17%.

Example 2, outreach response rate

An outreach campaign sends 240 emails and gets 18 replies.

  • 18 / 240 = 0.075

How to find responses from a known rate

If you know the total sent and the response rate, multiply the total by the rate as a decimal.

Responses = total sent * (rate / 100)
